In international sourcing and procurement, unexpected situations can sometimes occur even when every step of the ordering process is handled carefully. As a sourcing partner working closely with suppliers, our role is not only to place orders but also to manage and resolve issues that may arise during procurement.
While our goal is always to deliver exactly what our clients ordered, the reality of working with multiple manufacturers and suppliers means that challenges can occasionally happen. What truly matters is how these situations are handled.
Below are some of the most common issues we encounter when providing sourcing and procurement services, and how we manage them to protect our clients’ interests.
1. Correct Order Placed, but Supplier Sends the Wrong Product
Sometimes the order is placed correctly, but the supplier mistakenly ships the wrong item. This may involve:
- Incorrect color
- Wrong size
- Incorrect specifications
- Packaging errors
In these situations, we immediately contact the supplier and arrange a replacement. The incorrect products are returned or replaced depending on the supplier’s policy. Our team carefully checks the goods when they arrive at our warehouse to prevent incorrect items from being shipped to our clients.
2. Supplier Confirms the Order but Later Reports the Product is Out of Stock
Another situation we occasionally face is when a supplier confirms the order but later informs us that the product is actually out of stock.
When this happens, the supplier typically issues a refund to us. Once we receive the refund, we will:
- Return the payment to the client, or
- Apply the amount to the client’s next order (based on the client’s preference)
Transparency is very important to us, so we always inform our clients as soon as we receive this information.
3. Supplier Requests Additional Production Time
In some cases, the supplier informs us after the order is placed that the product is temporarily unavailable and needs additional production time.
The supplier may ask for:
- 10–15 days
- Sometimes longer depending on production schedules
When this occurs, we immediately communicate the updated timeline to the client. If the client is able to wait, we will coordinate with the supplier and follow up closely until the products are ready.
4. Supplier Ships a Different Product
Occasionally, a supplier may ship a completely different product than what was ordered. This can happen due to warehouse mistakes or internal miscommunication at the supplier’s side.
Our warehouse inspection process helps us detect these issues before shipping to the client. When this happens, we work directly with the supplier to:
- Arrange replacement products
- Correct the shipment
- Resolve the issue as quickly as possible
Why a Professional Sourcing Partner Matters
Many buyers assume that once an order is placed, everything will go smoothly. However, in reality, supplier-side issues can still occur. This is exactly where a professional sourcing partner becomes valuable.
We act as a bridge between the client and the supplier, managing communication, checking products, and solving problems before they affect the final delivery.
Even though we always strive to ensure that every order is perfect, there are situations beyond our direct control. What we can guarantee is that we will always take responsibility for managing these issues and finding the best solution.
Our Commitment to Clients
Our goal is always to deliver the correct products and provide the best possible service. When problems arise, we work closely with both the supplier and the client to reach a solution that satisfies everyone.
Possible solutions include:
- Replacing incorrect products
- Waiting for restocking if the client agrees
- Issuing refunds when products are unavailable
- Applying refunds to future orders
Customer satisfaction remains our top priority. We continuously monitor each order, inspect products carefully, and communicate openly with our clients to ensure a smooth sourcing experience.
